– Responsible for providing secretarial, administrative supports and assisting in business to the Head of Regional Operations (HoRO)
* ROLES
– Support and coordinate with the department’s colleagues to ensure an effective and smooth operations department.
– Perform other admin and secretarial tasks of the HoRO’s Office upon the request of the HoRO.
– Ensure the HoRO’s personal needs related to work: paperwork, invoices, businesstrip…
– Collect and summarize reports on sales/proft/cost/stock,… when requested
* KEY RESULT AREAS
– Business Assistant
– Make business report:
+ Collect and classify the reports from stores and other departments/functions
+ Understand and check the correct information of reports
+ Analyze and highlight the key business issue basing on priority
– Prepare business presentation (power point)
– Set the agenda and join in meetings to take notes of key topics & decisions
– Coordinate/communicate between Operation department and to other departments
– Participate actively in key Commercial Actions/Events.
– Contact with purchasing Dept to work with Financial Dept- gov. authority and submit price registration once changing (anytime)
– Contact with Industry &Trade Dept. bi weekly to submit promotion scheme announcement
– Contact and negotiate with Trade promotion agency to submit program related to big-bang promotions to get their approval
– Type correspondence, reports, contracts, faxes of the HoRO.
– Take phone messages when the HoRO is absent or in meeting
– Maintain proper filing of all documents daily both in hard copies and scanned copies.
– Arrange visa travel (both local and overseas) booking, notarization, legalization, etc. for the HoRO when requested.
– Hotel and air tickets booking for the HoRO.
– Arrange refreshments for visitors when meeting with the HoRO.
Requirement
– Bachelor degree or equivalent qualifications.
– Personal quality such as maturity, integrity, decent, high level of accuracy, strong in organizing works and time management, commitment and reliable.
– Hard working, open minded; target and result driven
– Excellent skills for MS office software and typing skills.
– Excellent communication and negotiation skills
